Our Billing Policy

At Kaleido Health Centre, we pride ourselves on providing the highest possible standard of health care to sexuality and gender diverse communities. 

We would love to bulk bill all our clients, but unfortunately, the costs of providing primary health care are high, and current Medicare rebates are not enough to cover the true costs of providing quality healthcare.

We recognise the community’s need for affordable healthcare access. We strive to minimise client costs while also balancing the need for financial sustainability, allowing us to continue providing healthcare to the LGBTQ+ community in the future. 

Kaleido provides a range of healthcare services under a mixed-billing arrangement. This means that in most cases, we charge a consultation fee or gap payment, but for clients meeting our bulk billing eligibility criteria, some services may be offered with no or low out-of-pocket expenses.

We are a not-for-profit charitable organisation, and all funds raised through our billing practices are reinvested to provide a greater range of free or subsidised services to those in our communities who need them the most. 

Regardless of their concession status, we also provide everyone free access to some of our allied health, and nursing services.  

Many of the services provided by our partners at Kaleido are also free or low-cost whenever possible.

Bulk Billing

We understand that there are moments in life when health issues and expenses can become challenging. It’s important that people can still receive high-quality healthcare during these times, which is why we may provide bulk billing in certain situations.

Clients meeting the following criteria may be eligible for bulk billing:

  • People aged under 16
  • Health Care Card Holders 
  • Pensioner Concession Card Holders
  • Department of Veteran Affairs (DVA) Card Holders

General Practitioners (GPs) retain discretion to apply bulk billing on a case-by-case basis, considering individual patient circumstances and health centre policies.

Clients must present the appropriate concession card at the time of their appointment, or they will be charged the full consultation fee.

By proceeding with your appointment, you agree and consent to the payment fees, including bulk billing via Medicare if eligible.

Payment is required on the day of your appointment and can be made by cash, EFTPOS or Credit Card (excluding Diners and AMEX cards). 

Workers’ compensation clients must provide a claim number each time they present for a consultation. 

A credit card surcharge of 1% and a debit card surcharge of 0.5% will be applied to EFTPOS transactions.

Please bring your Medicare card with you on the day of your appointment.

We can claim your Medicare rebate instantly on the day by crediting your rebate onto an eligible DEBIT bank card. 

 

Alternatively, the Medicare rebate will be paid to the bank account linked to your Medicare account within 1-2 business days.

 

Medicare no longer sends benefit cheques. If you have not received your Medicare rebate into your bank account within 48 hours, please call Medicare on 132 011.

 

If you have not registered your bank account with Medicare, we recommend you do so before your first visit to Kaleido. Register online at www.servicesaustralia.gov.au/medicare 

Clients who do not have a Medicare card (Medicare ineligible), international students, and overseas visitors will be required to pay the total (private) cost, payable on the day of your visit, and won’t receive a Medicare rebate.

Kaleido is recognised as a legitimate General Practice service provider by insurance companies. We can provide international students and overseas visiting clients with a tax invoice for claiming via your insurance provider.

  • All insurance reports
  • Psychology and Counselling appointments without a Mental Health Treatment Plan from a GP.
  • Some Allied Health appointments without chronic disease health care plan referral from a GP.
  • Employment Medicals.
  • Fitness to Drive Medicals (except for Aged or Medical Conditions)
  • Letters of advice from a GP

For some services not covered by Medicare, clients with private health insurance can claim rebates at Kaleido on the day of their appointment via the Health Industry Claims and Payments Service (HICAPS) electronic health claims system. 

We understand that unexpected circumstances, such as sudden illness or personal emergencies, may arise and impact your attendance at an appointment.

If you can’t attend an appointment, please contact us as soon as possible to cancel or reschedule it. This allows us to offer the appointment to another patient who may require medical attention.

For appointments before 11:00 a.m., please notify us by 5:00 p.m. the day before your appointment. For appointments after 11:00 a.m., please provide at least 3 hours’ notice.

If you fail to attend your appointment or do not provide adequate notice, a $45 cancellation fee may be charged. By confirming your appointment, you authorise us to charge any cancellation fees due from your stored payment method or at the time of your next attendance.

Please note that Medicare and private health funds do not cover these fees.

We reserve the right to refuse to schedule further appointments for patients who consistently fail to attend appointments or provide insufficient notice.
